Proposal Submission
I did not receive a confirmation email. How do I know if my proposal was received?
If you saw a “Thank you” confirmation message on your screen after clicking “Submit,” your proposal was successfully received.
If you did not see a confirmation message, your proposal was not submitted and cannot be considered.
I submitted my proposal by email. What happens now?
The submission instructions were explicit: only proposals submitted through the online portal are accepted.
All proposals submitted by email are automatically deleted and are not reviewed.
I submitted multiple versions of the same proposal. Is this a problem?
Yes. We do not have the capacity to compare multiple versions of the same proposal.
The first version reviewed is the one that will be rated. All other submissions are treated as duplicate submissions and deleted.
I sent an email asking for further guidance but did not receive a reply. Why?
Due to the high volume of submissions, we are unable to respond to individual inquiries.
Questions that could have been answered by carefully reviewing the Call for Proposals and this FAQ were not answered individually.
I experienced internet or technical issues. Can I request an extension of the submission deadline?
No. No extensions are granted under any circumstances, including internet connectivity issues.
I provided false or misleading information in the eligibility check. Is this an issue?
Yes. Providing false information will result in:
- Immediate rejection in Round 1, and
- Disqualification from future calls for proposals by Peace of Mind Foundation.
Proposal Review Process
How long does the review process take?
We received significantly more proposals than anticipated, and the review process is resource-intensive.
We expect to complete Round 1 reviews by mid-February.
Can I request feedback on my proposal?
Unfortunately, no. Due to limited capacity and the high volume of submissions, we are unable to provide individual feedback on proposals.
Why was my proposal rejected in Round 1?
There are multiple reasons. Given the volume of submissions, the screening process is very competitive.
Common reasons for rejection include:
- Very brief or vague proposals (e.g. 2–3 pages with limited substance)
- Unrealistic budgets or impact claims
- Superficial or unclear methodologies
- Weak or unclear monitoring and evaluation approaches
Proposals that did not meet basic quality and feasibility standards were not advanced to Round 2.
What are the key criteria in Round 1?
In Round 1, we assess whether the applicant demonstrates:
- At least 5 years of experience in MHPSS programming
- A clear, child-centered methodology addressing conflict, violence, or disaster-related trauma
- A solid understanding of monitoring progress and impact
- A focus on children in acute crisis situations
- Value for money, sustainability, and meaningful community engagement
What are the next steps after Round 1?
- Round 2: Background checks, including review of online presence and request for two donor reference letters
- Round 3: Technical interviews to discuss methodology, approach, and implementation capacity
Only a limited number of organizations will advance to each stage.
Grants
How many grants will be awarded?
There is no fixed number of grants. Our objective is to allocate a total of approximately USD 1,000,000 through this call.
When will grant agreements be signed?
We aim to sign the first grant agreements in late March / early April.
What are the reporting requirements for funded projects?
Reporting requirements depend on the value and duration of the grant. Typically, this includes:
- 1–2 interim narrative and financial reports
- One final report
- Regular (usually monthly) coordination calls with the Peace of Mind Foundation team.
When will the next call for proposals be launched?
- Following the conclusion of this call, we will not only review the submitted proposals but also critically assess our overall approach to calls for proposals. Based on this reflection, we may adapt the format, scope, and process of future funding opportunities.
- As a result, any future call for proposals or funding mechanism may be substantially different from the current one.
